Overview

OnBase is Hyland's enterprise content services platform that combines document management, business process automation, case management and records retention in a single application. Originally released in 1996 as a document imaging system, it has grown into a modular platform of roughly 200 configurable components that organizations assemble into solutions for specific departments and processes rather than coding from scratch. OnBase captures content from scanning, email, fax, EDI and electronic files, classifies and extracts data from it, routes it through configurable workflows, and stores it under managed retention policies.

A central design goal is surfacing content in the context of the systems people already use. OnBase provides point-and-click and prebuilt integrations with more than 500 applications, including major ERP and HR systems such as SAP, Oracle, Workday, Microsoft Dynamics 365 Finance & Operations, Infor and JD Edwards, so users can view and act on documents from within those screens. A common deployment is accounts payable automation, where OnBase captures invoices, performs two- and three-way matching against ERP purchase order data, routes exceptions and approvals, and posts confirmed data back into the financial system.

OnBase is offered both as a Hyland Cloud SaaS service and as an on-premises or hybrid deployment, and it sits within Hyland's broader Content Innovation Cloud alongside the company's other content platforms. It targets mid-market and large enterprises in document-intensive, regulated industries such as financial services, insurance, healthcare, government and higher education, where its records management, audit trail and retention capabilities are frequently cited reasons for adoption.
