What is HRIS (Human Resource Information System)?

An HRIS is the central software system of record for an organisation's employee data, HR processes, and people-related transactions.

Definition

A Human Resource Information System (HRIS) stores and manages core workforce data such as personal details, job and position history, compensation, employment status, and organisational structure. It serves as the authoritative system of record for the workforce, feeding accurate data to downstream processes like payroll, benefits, and reporting. Modern HRIS platforms typically include employee and manager self-service, workflow-driven approvals, and compliance reporting. The term is often used interchangeably with HRMS (Human Resource Management System), though HRMS sometimes implies broader talent and payroll capability. An HRIS is the foundation on which most other HR and people processes are built.

How HRIS Works in ERP

In an ERP suite, the HRIS module shares a single employee master with finance, projects, and time tracking, so a new hire or job change entered once propagates to payroll, labour costing, and the general ledger. ERP-embedded HRIS removes the need to synchronise employee records across separate systems, reducing reconciliation errors. Reporting draws on the same database used for financials, enabling unified workforce-cost analysis.

Frequently Asked Questions

What is the difference between an HRIS and an HCM system?

An HRIS focuses on the core system of record: employee data, organisational structure, and administrative HR transactions. HCM (Human Capital Management) is a broader concept that adds strategic talent processes such as recruiting, performance, learning, and succession on top of that core. In practice many vendors market a single platform that covers both, so the distinction is often about scope rather than two separate products.

Is an HRIS the same thing as payroll software?

No. An HRIS holds the workforce data and HR processes, while payroll software calculates pay, taxes, and deductions and generates payments. They are tightly related because payroll depends on accurate HRIS data such as salary, status, and tax details. Many ERP and HCM suites bundle both, but a standalone HRIS can also feed a separate payroll engine.
