About QuickBooks Online Pricing

QuickBooks Online is priced per company file, not per user, which is the single most important thing to understand about its cost. As of the August 2026 repricing the US list plans are Simple Start $38/month (1 user), Essentials $75/month (3 users), Plus $140/month (5 users) and Advanced $340/month (25 users). Those increases were steep — Plus rose about 41% and Advanced about 70% — and the Advanced rise absorbed payroll functionality that was previously billed separately. Because seats are bundled into the plan rather than sold individually, cost jumps in steps at the user cap rather than rising smoothly, so the practical question is which cap you will hit first. Payments processing, payroll and time tracking are billed on top of every plan.

Why did QuickBooks Online get more expensive in 2026?
Intuit repriced renewals from 1 August 2026. Plus moved from about $99 to $140 a month and Advanced from about $200 to $340. Intuit bundled Workforce Elite payroll and new AI features into Advanced as part of the increase, so part of the rise replaces a cost that used to be billed separately — but for businesses that were not buying payroll, it is a straight increase.
Is QuickBooks Online cheaper than an ERP?
On licence cost, yes, by an order of magnitude — $456 to $4,080 a year against $15,000 to $150,000+ for a mid-market ERP. The comparison stops being meaningful once you need multi-entity consolidation, real inventory costing, manufacturing or warehouse management, because QuickBooks either cannot do those or needs several paid third-party apps that erode the saving.
Do I pay per user in QuickBooks Online?
No. Each plan includes a set number of users and you cannot buy additional seats individually — you move up a plan. That makes QuickBooks unusually cheap for businesses with many light users and unusually expensive for a business that needs, say, a sixth user on Plus.
What does QuickBooks Online not include?
There is no manufacturing, warehouse management or quality management, and inventory is single-location with no real lot or serial costing. Payroll is a separate subscription below the Advanced tier.
