Best Procurement Software for Dynamics 365

Updated July 2026 · By the ERP Research Editorial Team · Independent and vendor-neutral — no vendor pays for placement or ranking.

Procurement software for Dynamics 365 manages requisitions, approvals, sourcing, supplier management and contracts, issuing purchase orders that post into Dynamics. D365 Finance & Operations includes a substantial Procurement and Sourcing module; Business Central offers basic purchase-order processing, which makes the third-party case far stronger for BC users than for F&O.

The two Dynamics products sit at opposite ends of this category. D365 Supply Chain Management's Procurement and Sourcing module is genuinely comprehensive — requisitions, RFQs, vendor collaboration portal, purchase agreements and category hierarchies — and an F&O customer needs a specific reason to add anything.

Business Central provides purchase-order processing rather than procurement: no structured requisitioning, minimal approval routing, no sourcing. That gap is why the mid-market vendors below have done well in the BC channel. As with planning, note that the vendor list spans enterprise suites and lightweight requisition tools, and matching weight to product matters more than any feature comparison.

What does Dynamics 365 cover for procurement?

D365 Supply Chain Management includes purchase requisitions with workflow, requests for quotation, purchase agreements, vendor collaboration through a supplier portal, procurement categories and policy enforcement by category and value — a wide native footprint that leaves less white space than most ERPs. Business Central covers purchase orders, receipts and vendor records with approval workflow available through Power Automate but no native requisitioning discipline. The durable third-party arguments are intake orchestration across legal, security and finance reviews, sourcing depth for complex categories, supplier-risk data, and — for BC — structured requisition and approval capability that simply is not there.

How to choose Dynamics 365 procurement software

  1. 1

Write down your requirements before any demo

List the specific procurement & sourcing outcomes you need — volumes, workflows, countries, systems in the loop — and rank them. Vendor demos are optimised to reframe your requirements around their strengths; a written list keeps the evaluation yours.

  2. 2

Verify Dynamics 365 integration depth, not existence

Every vendor here “integrates with Dynamics 365” — the differences are in depth. Ask each to demo the integration against a realistic Dynamics 365 configuration: your entity structure, your fields, your transaction volumes, and what happens when a sync fails.

  3. 3

    Check certification and marketplace status

Look for Microsoft AppSource listing / ISV certification and a current listing on Microsoft AppSource. Certification doesn't guarantee fit, but it confirms the vendor keeps pace with Dynamics 365 releases — uncertified integrations are where upgrade breakage concentrates.

  4. 4

Reference-check companies that look like yours

Ask for two reference customers on Dynamics 365 at your size and in your industry, and ask them what broke in the first year. Implementation quality varies more than product quality in the procurement & sourcing category.

  5. 5

Model total cost over three years

Compare subscription plus implementation plus internal effort — not headline price. Dynamics 365 procurement software pricing models differ (per user, per volume, per entity), so normalise every quote to your actual usage before comparing.

Frequently asked questions

Do F&O customers need third-party procurement?

Less often than vendors suggest. Procurement and Sourcing covers requisitions, approvals, RFQs and vendor collaboration adequately for many organisations. The credible additions are intake orchestration — one front door for any employee request, routing approvals across departments before a requisition exists — plus advanced sourcing for complex categories and third-party risk data. Replacing Procurement and Sourcing outright is rarely the winning argument.

What should Business Central users look for?

Requisition and approval capability first, because that is the actual gap: employees requesting purchases through a structured form, routed by value and category, checked against budget before a purchase order exists. The mid-market tools built for BC do this well and deploy quickly. Enterprise sourcing suites are disproportionate for a BC footprint in both cost and implementation weight, and adoption tends to suffer accordingly.

How do procurement platforms integrate with Dynamics 365?

Vendors, items, financial dimensions and budgets flow out; approved requisitions or purchase orders flow back, with receipt and invoice status reconciling. F&O uses Dataverse and OData, Business Central its own API or an AppSource extension. Decide which system owns approval rules before implementation — maintaining them in both guarantees drift, and the resulting stalled requisitions are hard to diagnose because each system believes it is behaving correctly.
