Financial Management
General ledger, accounts payable and receivable, fixed assets, cash and bank management, and budgeting. Native support for multi-ledger, multi-currency, and multi-entity with an integrated consolidation layer. A single transaction can post to legal, analytical, and IFRS ledgers at once, so a group with subsidiaries in several countries closes and consolidates inside one system instead of exporting trial balances into spreadsheets. Purchasing & Procurement
End-to-end procure-to-pay including requisitions, approval workflows, purchase orders, goods receipt, supplier invoicing, and landed cost. Supplier management and RFQ workflows are standard, and two- and three-way matching between order, receipt, and invoice is built in rather than bolted on. Landed-cost tracking matters most to importers and distributors: freight, duty, and insurance are absorbed into item cost rather than dumped into a general overhead account, so gross margin by SKU is real. Batch management, serialisation, expiry and use-by dates, inspection plans, non-conformance handling, and bidirectional traceability from raw material to finished goods — a must-have in food, chemicals, and pharma. Quality control is embedded in the goods receipt, production, and shipping flows rather than kept as a separate log, so stock can be held at goods-in until an inspection passes and a failed batch cannot be picked. Sales & Customer Management
Quote-to-cash processing, contract-based pricing, CRM, return management, and credit control. Includes a sales portal and mobile access for field reps. Pricing handles customer-specific and contract price lists, volume breaks, and promotions — the thing distributors need when the same SKU sells at a different price to every account. Credit control can hold an order automatically when a customer breaches its limit, before the shipment leaves the dock rather than after the invoice ages.
Project Management
Work breakdown structures, project cost tracking, time and expense capture against projects, project-level P&L, and resource allocation. It is built for project work inside a product business — a capital installation, a custom engineering job, a plant expansion — where cost has to roll up against both the project and the ledger. Companies whose entire revenue is billable client projects usually get a better fit from a dedicated professional services automation product than from X3's project module.
Business Intelligence
Embedded analytics, a visual dashboarding layer, and pre-built industry KPIs, with drill-down from a summary figure to the source transaction. Deeper BI typically uses Sage X3's published data warehouse connected to Power BI or Tableau, which is the pattern most partners recommend once reporting moves past operational dashboards. Budget for that separately — the external BI tool, its licences, and the data modelling work are not included in X3 licensing.
Sage X3 and Sage's AI Roadmap
Sage began rolling out Sage Copilot, its generative AI assistant, across its cloud accounting portfolio from 2024, leading with Sage Intacct and its small-business products rather than X3. Sage X3's own automation strengths remain rules-based rather than generative: workflow and approval engines, rule-based bank reconciliation matching, MRP, and automated pricing.
That distinction matters because most 2026 ERP marketing now leads with embedded AI — anomaly detection, automated invoice capture, natural-language reporting. Ask any partner which AI capabilities are generally available in the exact X3 release and deployment model you are being quoted, which are roadmap, and which are delivered by a third-party add-on carrying its own licence fee.
